Job description:
We are currently interviewing for a Front Desk Receptionist / Assistant Community Manager to add to our distinguished team of client service professionals. The successful candidate will provide exemplary day-to-day support services to a team of Community Managers and a portfolio of community associations, which may include Homeowners/Community, Condominium, Townhome and Developer-Controlled Associations. Superior client service, written and verbal communication, and organizational skills are required to ensure operations run smoothly, Trestle Management Group’s processes are followed, and clients are consistently provided with a high standard of service.
Additional responsibilities include the following:
- Greet guests when they come into the office and either provide them with the service they need or direct them to who they need to meet with.
- Answer/route inbound telephone calls.
- Listen to voice mails received and route them accordingly.
- Process homeowner walk-in payments.
- Oversee amenity needs for the communities managed out of the Gilbert office.
- Includes: prepare devices for homeowner pick-ups, mailing, etc.,
- Conduct weekly inventory check for office / kitchen supplies and order replacement items in a timely manner to ensure adequate supplies are kept on hand.
- Schedule all meetings in the conference room
- Ensure the conference room is always ready for both scheduled and impromptu meetings (clean, straightened, water is available and chilled, etc.,)
- Coordinate vendor lunch and learns with guidance from Irene.
- Support team members with various administrative needs, such as binding board packets, gathering/tracking homeowner responses in Vantaca, information audits in Vantaca, and other administrative duties as assigned.
- Work closely and productively with the rest of the Trestle Team, including the other assistants, community managers, accounting, and operations teams, as needed.
- Assist with handling phone calls, software process actions, etc., upon the request of the Community Manager.
You must be motivated and reliable, with exceptional interpersonal and communication skills as well as have the ability to work independently with exceptional attention to detail, and strong multitasking, time-management and prioritization skills. Specific qualifications for the Assistant position include:
- High school diploma or equivalent
- HOA/COA experience preferred
- Minimum 2 years’ experience in a busy office environment
- Experience with a wide range of office software, including full Microsoft Office suite, phone system, web conferencing tools, basic website/web page management, tablets, etc.
- Strong interpersonal etiquette and diplomacy
- Strong time management skills
- Strong communication skills, both verbal and written
- Positive and collaborative attitude
Reporting to Support Services Manager
Salary: $18 to 20/hour depending on experience
